Receptionist

Nairobi, Kenya

We are currently seeking a Receptionist for the Resilience and Economic Growth in the Arid Lands-Accelerated Growth (REGAL-AG) project, funded by USAID.  

This project will identify, integrate and sustain humanitarian investments that prove to be effective in sustainably increasing resilience and reducing the need for recurrent humanitarian assistance, and to build on these investments to accelerate sustainable economic growth. 

The goal of REGAL-AG is to foster an inclusive livestock value chain that increases pastoralists’ resilience and stimulates economic growth in several Kenyan counties and beyond.

Responsibilities:
Act as representative of the REGAL-AG office by greeting and addressing visitors in a polite and welcoming manner
Maintain reception area by ensuring REGAL-AG promotional materials and general area is free of litter and orderly in appearance
Receive and respond to telephone communications
Contribute to event planning as requested, such as by preparing a list of invitees/participants
Maintain the conference room reservation scheduling on behalf of the REGAL-AG office
Maintain the daily sign-in sheet at the front desk; updating calendar to advise staff on absences, field travel, and training participation
Distribute incoming mail and faxes to recipients promptly
Ensure that key newspapers/subscriptions are purchased and available based on budget provided
Provide scanning, photocopying, and other overflow administrative support as requested
Ensure appropriate coverage at the main desk to ensure the overall security within the REGAL-AG office
Perform other duties as assigned/requested by the Office and Logistics Manager or senior staff
As the “face” of ACDI/VOCA Kenya and the REGAL-AG project, the receptionist is expected to maintain a professional appearance and demeanor at all times.
Qualifications:
Must have a minimum of two years office work experience as receptionist or in a similar administrative position
Diploma certificate in Information Technology (IT), secretarial or Public relations is  required
Ability to use Word, PowerPoint, Excel and other database software
Excellent writing and reporting skills in English required
Can effectively communicate in English
Ability to multi-task with minimal direction and or instructions

Office and Logistics Manager

Nairobi, Kenya

We are currently seeking an Office and Logistics Manager for the Resilience and Economic Growth in the Arid Lands-Accelerated Growth (REGAL-AG) project, funded by USAID.  

This project will identify, integrate and sustain humanitarian investments that prove to be effective in sustainably increasing resilience and reducing the need for recurrent humanitarian assistance, and to build on these investments to accelerate sustainable economic growth. 

The goal of REGAL-AG is to foster an inclusive livestock value chain that increases pastoralists’ resilience and stimulates economic growth in several Kenyan counties and beyond.

Responsibilities:
Support the COP in the daily management of office operations including but not limited to, human resources, procurement, grants management, office administration, and monitoring the timely submission of reports.
Ensure that administrative, operations and procurement functions are in compliance with ACDI/VOCA’s Employee Personnel Manual (EPM), Procurement Manual, USAID rules and regulations, and applicable Kenyan law; prepare required documentation of such
Ensure effective coordination between administrative, operations support  and program staff
Ensure efficient organization and execution of events, conferences, workshops, large general meetings, including preparation and dissemination of background documents, arrangements for lodging, catering, minute-taking, equipment use, etc. 
Contribute to program reporting, monitoring, and support the COP in the coordination of the REGAL-AG program and finance team
Maintain organized and accurate records  including the submission of payment requests for general invoices, publication payments, and expense reports
Supervise the receptionist and drivers
Act as liaison for outside vendors, including IT troubleshooting and office equipment setup
Assist with setup for new staff members to ensure smooth orientation
Address general mail deliveries for the Kenya office, including invoices, requests for information, etc.
Monitor office equipment and maintain supply levels, submit supply order requests as needed
Ensure kitchen area is cleanly maintained and stocked
Ensure efficient management and maintenance of office assets, facilities, IT, security, etc.
Maintain and reconcile timesheets
Qualifications:
Minimum of bachelor’s degree in management or related field is required
Minimum of 5 years of experience in managing office operations and demonstrated understanding of and experience with USAID policy and procedures
Strong oral and written communication skills in English is required
Good problem solver, self-starter, creative and innovative, good communication, leadership and reporting skills required
Experience working in Kenya agricultural development programs is highly preferred
IT compliant or training in IT is highly recommended.

Financial Services Specialist

We are currently seeking a Financial Services Specialist for the Resilience and Economic Growth in the Arid Lands-Accelerated Growth (REGAL-AG) project, funded by USAID.  

This project will identify, integrate and sustain humanitarian investments that prove to be effective in sustainably increasing resilience and reducing the need for recurrent humanitarian assistance, and to build on these investments to accelerate sustainable economic growth. 

The goal of REGAL-AG is to foster an inclusive livestock value chain that increases pastoralists’ resilience and stimulates economic growth in several Kenyan counties and beyond.

Responsibilities:
Design and implement activities that support and improve the demand and supply side of value chain finance to increase the competitiveness of livestock-related value chains
Design and implement activities in the financial services sector that will increase the competitiveness of livestock-related value chains, and actors within those value chains
Collaborate with institutions in the financial sector engaged in agriculture (particularly livestock) lending to strengthen existing programs and provide support for new programs and products.
Establish linkages with relevant institutions in Kenya’s financial sector and pursue opportunities where project support can improve their investments and operations in the agricultural and particularly livestock sector
Provide technical assistance to value chain actors to enhance existing, and launch new financial products and services
Form strategic partnerships that expand the outreach of financial institutions to underserved markets in the target areas
Assess the impact of financial products, strategic partnerships and pilot efforts and make adjustments as needed
Address obstacles to credit faced by women
Qualifications:
Solid understanding of best practices in MSME finance, including agricultural finance and credit delivered by value chain actors
At least seven years’ experience working in or consulting in the commercial financial services sector with experience in agribusiness (and particularly livestock) lending a plus
Experience in developing and implementing new rural financial products, including experience with market research techniques, piloting new products, promoting strategic alliances and monitoring results
Experience with financial education, informal finance, understanding saving groups, microinsurance and mobile banking preferred.
Minimum of a Bachelor degree in Finance, Economics or a related field, and MA preferred.

Driver

Responsibilities:
Determine safe and efficient driving routes for transportation of personnel and goods
Assist with daily business errands and the photocopying of office documents
Maintain accurate vehicle logs
Ensure cleanliness and maintenance of program vehicles
Assist with the delivery of documents and receipt of procurements into the office
Perform other duties as assigned by the Office and Logistics Manager and senior staff
Strict compliance with ACDI/VOCA Employee Policy Manual, particularly regarding:
Security Procedures
Use of a Cell Phone/PDA while Driving
Vehicle usage policy
Qualifications:
Driver’s license and clean driving record
At least two (2) years of experience in a similar occupation

Accountant

Nairobi, Kenya 

We are currently seeking an accountant for the Resilience and Economic Growth in the Arid Lands - Accelerated Growth (REGAL-AG) project, funded by USAID.  

This project will identify, integrate and sustain humanitarian investments that prove to be effective in sustainably increasing resilience and reducing the need for recurrent humanitarian assistance, and to build on these investments to accelerate sustainable economic growth. 

The goal of REGAL-AG is to foster an inclusive livestock value chain that increases pastoralists’ resilience and stimulates economic growth in several Kenyan counties and beyond.

Responsibilities:
Oversee financial transactions and activities including the accounting of funds, disbursements and expenditures
Prepare accounting vouchers (payment and journal) and ensure that all supporting documentation (invoices and receipts) are attached
Review payments and verify that every release of funds is backed-up by supporting documents (e.g. pro-format invoices, bills) and has been authorized before submitting to Chief of Party (COP) or other authorized signatory
Record journal entries in the QuickBooks accounting system and ensure that all financial transactions are properly coded according to the ACDI/VOCA chart of accounts
Process fund requests and internally control fund use and amounts paid using appropriate checks and controls
Verify timesheets collected, filled out and checked by human resources/administrative manager in terms of leave records, updating accrued leave and travel advances
Review and verify cash disbursements from petty cash
Prepare payroll payments for local employees, including calculating, withholding and recording all applicable income taxes and other social payments based on Kenyan tax rules and other ACDI/VOCA discretionary benefits
Coordinate closely with the Finance/Office Managers in the Marsabit and Garissa offices, compiling their monthly financial statements with the Nairobi office, and facilitating bank advances, if necessary
Monitor financial compliance with ACDI/VOCA and USAID requirements
Notify the Chief Financial Officer (CFO) and/or COP in writing about any concerns, risks or misuse of resources and report any illegitimate expenses, misuse of funds or other false financial claims
Keep all sensitive REGAL-AG program financial information confidential
Perform other duties as assigned by the CFO
Qualifications:
CPA (K) and Master’s degree in accounting or related field is an added advantage.
Minimum five  (5) years of experience in financial management or equivalent
Sufficient knowledge of accounting standards and government of Kenya tax laws and regulations
Good administrative and organizational skills; record keeping and filing systems. 
Good problem solver, self-starter, creative and innovative, good communication, leadership and reporting skills
Experience with USAID project procedures, policies and compliance requirements are highly preferred
A strong command of Microsoft Office Word, Excel, QuickBooks and other relevant computer applications
Fluency in English required
